UKH Foundation Privacy Notice

This notice sets out how and why the UKH Foundation collects and uses personal information. It was approved by the Trustees on 12 July 2021 and is subject to regular review.

What type of information we have 

The information that we have on you is that which you have given to us on your donation request form. This is restricted to name, address, phone number and email address.

We may use this to check your organisation’s details against any publicly available source such as The Charity Commission or Companies House.

 

How we get the information and why we have it

Most of the personal information we process is provided to us directly by you for the following reason:

  • To enable the Trustees to have the information available to them to progress the donation application process.

We may also collect personal information indirectly to review your application, from the following sources in the following scenario:

  • Publicly available organisations such as The Charity Commission or Companies House to help the Trustees make their decision on the donation application.

 

Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is your consent. You are able to remove your consent at any time. You can do this by contacting The Trustees, UKH Foundation, Lancaster Gate, 21 Tiviot Dale, Stockport, Cheshire SK1 1TD

Also, we have a legitimate interest in keeping your data to support the decision-making process of any donation made to your organisation.

 

What we do with the information we have

We use the information that you have given us to review your donation application and to make contact with you regarding the progress of the application.

We will only share this information with any regulatory authorities as legally required. This may include but is not limited to the Charity Commission and HMRC.

We will never request personal information about any of your Charities beneficiaries. If you decide to support your application with any of their personal information, including photos, please ensure that they have given their written consent before sending us that information.

How we store your information 

Your information is securely stored 

We keep all the personal information detailed above for a period of six years. We will then delete all your information from our computer records and shred any paper copies.

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal data in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
